General Statement of Job:
Under general supervision, performs a variety of moderate to complex secretarial/clerical work in providing support of the operations of the department. Work involves performing secretarial duties for the department; and using considerable judgement and initiative in the performance of job responsibilities. Reports to the Assistant Director of Personnel.

Specific Duties and Responsibilities (This is descriptive, not restrictive as to all tasks included in this position):
ESSENTIAL JOB FUNCTIONS Composes letters; types correspondence and reports; responds to inquiries; schedules appointments and meetings as directed by the Director and Assistant Director of Personnel. Conducts subject research as necessary to complete special projects and report assignments; processes all materials for meetings. Maintains computer records relating to all Personnel actions; prepares various computerized reports on employee data. Generates reports for outside agencies and Management as directed by Director and Assistant Director of Personnel. Generates reports to update and maintain current programs. Processes requisition bills. Processes department payroll for review by Assistant Director as backup. Receives and/or reviews various records and reports such as prior reports, Personnel Action forms, mail for the department, and verbal instructions. Prepares and/or processes various records and reports such as diversity programs, letters, monthly reports, general activity reports, and verbal instructions to applicants. Refers to employee handbook, department policy and procedures, data system, codes / laws / regulations, publications and reference texts, etc. Operates a variety of office equipment and machinery including telephone, fax machine, copy machine, shredder, photograph identification machine, computer, scanner, printer, etc. Uses a variety of tools such as stapler, calculator, standard office tools, etc.; a variety of supplies such as general office supplies, etc.; and a variety of computer software such as Microsoft Office, Munis, Crystal Reporting, etc. ESSENTIAL JOB FUNCTIONS Composes letters; types correspondence and reports; responds to inquiries; schedules appointments and meetings as directed by the Director and Assistant Director of Personnel. ADDITIONAL JOB FUNCTIONS Maintains employee records. Assists in accepting applications at department window; arranges typing test for applicants when required. Serves as backup to the position of processor when needed. Assists the Fire and Police Civil Service in accepting applications. Performs general administrative/office duties as required, including typing reports and correspondence, entering and retrieving computer data, copying and filing documents, sending and receiving faxes, etc. Performs other related duties as required.

Communication Skills:
Requires the ability of speaking and/or signaling people to convey or exchange information. Includes receiving assignments and/or directions from supervisor.

Physical Requirements:
Must be physically able to operate a variety of automated office machines and equipment, which includes a computer, typewriter, printer, computer assisted multi-line telephone system, copier, etc. Must be able to exert up to ten pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Sedentary work involves sitting most of the time, but may involve walking or standing for periods of time. Must be able to lift and/or carry weights of up to five pounds.

Mental Involvement:
Requires the ability to apply principles of common sense understanding to carry out instructions furnished in written, oral or diagrammatic form; to deal with problems involving several concrete variable in or from standardized situations. Requires the ability to make routine independent judgments in absence of supervision; to acquire knowledge of topics related to primary occupation. Must have the ability to comprehend and interpret received information and to understand and implement basic computer and office machinery functions.

Minimum Training and Experience Qualifications:
Requires a high school diploma or equivalent supplemented by two to three years of secretarial or general clerical experience; or any equivalent combination of education, training, and experience, which provides the required knowledge, skills, and abilities.

Interpersonal Relationship Skills:
Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under minimal levels of stress when confronted with an emergency.

Salary Requirements:
$16.0673 PER HOUR / 35 HOURS PER WEEK
