General Statement of Job:
Under limited supervision, performs assigned work in coordinating and participating in the provision of effective and efficient support for the Fleet Management Department. Work involves answering telephone calls, preparing weekly and monthly reports, work orders, purchase orders, payroll, requisitions, legislation, contracts, and ordering fuel, etc. Reports to the Director of Fleet Management.

Specific Duties and Responsibilities (This is descriptive, not restrictive as to all tasks included in this position):
ESSENTIAL JOB FUNCTIONS Enters information into the computer system. Processes work orders, payroll, purchase orders, legislation, contracts, etc. Ensures departmental compliance with established guidelines and all applicable laws, rules, regulations, standards, policies, and procedures; initiates any actions necessary to correct deviations. Assists in preparing assigned budget(s) and in procuring necessary equipment, supplies and materials. Answers the telephone and electronic mail; greets and assists customers; receives and responds to inquiries, requests and complaints regarding areas of responsibility. Participates in defining and documenting program objectives, scope, and resource requirements. Monitors inventory of fuel and orders when needed. Generates and provides timely reports for Directors, Adminitstrative Officials, etc. Attends meetings, training, workshops, conferences, etc., as necessary to enhance job knowledge and skills. Performs general administrative / office work as required, including but not limited to preparing reports and correspondence, compiling data for reports, copying and filing documents, entering and retrieving computer data, sending and receiving faxes, maintaining logs and lists, etc. Receives and/or reviews various forms, reports, correspondence, policies, directories, manuals, reference materials, or other documentation; completes, processes, forwards, or retains as appropriate. Prepares and/or processes a variety of documentation associated with department operations, per established procedures and within designated timeframes; reviews various documentation for accuracy and completeness; distributes/issues various documentation. Refers to policy and procedure manuals, computer manuals, codes / laws / regulations, publications and reference texts, etc. Operates a variety of office equipment and machinery such as copy machine, fax machine, desktop computer, printer, etc. Uses a variety of tools such as standard office tools, etc.; a variety of supplies such as general office supplies, etc.; and a variety of computer software such as word processing, spreadsheet, database, accounting, or other programs. Interacts and communicates with various groups and individuals such as immediate supervisor, coworkers, other department heads and staff, and the general public. ADDITIONAL JOB FUNCTIONS Performs other related duties as required.

Communication Skills:
Requires the ability of speaking and/or signaling people to convey or exchange information. Includes the receiving of information and instructions from supervisor and giving information and instructions to subordinates.

Physical Requirements:
Requires light-to-medium work that involves walking or standing virtually all of the time and also involves exerting between 20 and 50 pounds of force on a recurring basis, or considerable skill, adeptness and speed in the use of fingers, hands or limbs in tasks involving close tolerances or limits of accuracy.

Mental Involvement:
Requires the ability to apply rational systems to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; to interpret a variety of instructions furnished in written, oral, diagrammatic, or schedule form. Requires the ability to apply influence systems in supervising staff and volunteers; to learn and understand relatively complex principles and techniques; to make routine independent judgments in absence of supervision; to acquire knowledge of topics related to primary occupation. Must have the ability to comprehend and interpret received information.

Minimum Training and Experience Qualifications:
Current, permanent Civil Service status with the City of Kenner and a demonstrable strong background in maintaining and handling inventory including but not limited to inventory scanning equipment and programs, ordering of parts, keeping stock and control inventory, etc. Additionally, must have a significant background with computer data processing and maintenance work. Must possess a valid Louisiana State Driver’s License. Selective certification will be granted for candidates having knowledge and training in Microsoft Excel and word, as well as experience in Munis and Crystal Reports.

Interpersonal Relationship Skills:
Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress when confronted with emergency situations or tight deadlines. The worker may be subject to danger or risk to a minimal degree, or to tension as a regular, consistent part of the job.
